The Stillwater Public Library Foundation is a 501(c)(3) nonprofit organization dedicated to enhancing the reach and impact of Stillwater Public Library. While the library is a public institution, the Foundation provides the critical private funding necessary to fuel innovation, expand collections, and support community-wide programming that exceeds the limits of the public budget. Position Summary
We’re looking for a collaborative partner to help us grow. As our Development and Communications Coordinator, you’ll play a dual role: keeping our donor processes running smoothly and crafting the narrative of our impact. Working closely with the Executive Director, you’ll tackle everything from record management and fundraising campaigns to events and digital communications. Responsibilities- Enter donations into Bloomerang, the Foundation's data management system. Donations are received by mail, phone, website, direct deposit, text-to-give, and other means.
- Generate, edit and print donor acknowledgement letters and standard donor gift reports. Assist with donor stewardship efforts.
- Coordinate with the bookkeeper to assure accurate and timely financial reporting
- Develop content for newsletters and fundraising campaigns
- Manage details for fundraising campaigns and generate web and print materials Work with Canva and graphic designers and printers on annual reports, invitations, mailings and more.
- Event management, including planning, executing and follow up. Institutional Responsibilities
- Serve as a member of the Foundation's staff to achieve the goals outlined in the upcoming Strategic Plan.
- Attend board meetings and take minutes.
- Serve on the Development Committee and any other related committees of the board and/or library.
- Seek opportunities to elevate the quality and effectiveness of the Foundation’s programs, events, and fundraising initiatives through strategic and smart use of relationship management best practices. Foster a positive working relationship with Library staff, donors, and community partners.
- Other duties as requested.
Qualifications and Skills
The Development and Communications Coordinator will be committed to the Foundation’s mission and to supporting the organization’s goals and objectives. Experience in the nonprofit field and/or libraries, specifically in communications and fundraising is preferred.- Google Workspace and database experience is a plus.
- Fundraising experience with the ability to engage a wide range of stakeholders and cultures.
- Strong written and verbal communication skills; a persuasive and passionate communicator with excellent interpersonal and multidisciplinary project skills.
- Detail-oriented and able to work effectively in collaboration with diverse groups of people and community entities.
- Commitment to protecting and maintaining confidential information and sensitive data.
- Comfort and basic familiarity with financial information.
- Passion, idealism, integrity, positive attitude, and mission-driven.
Additional Information
Salary: This is a .5 FTE non-exempt position that will work an average of 20 hours/week. This position allows for a flexible, but consistent schedule Monday through Friday between 9 a.m. and 5 p.m. (although events may be on evenings or weekends) to be mutually agreed upon by the Foundation and the incumbent. Salary for this position is $25/hour. This position is not eligible for benefits.
Education:
Minimum requirement Associate Degree, preferred Bachelor's Degree.
Physical Requirements
This position works at the Stillwater Public Library Administrative Office space with an option to work remotely. The schedule will be mutually determined by the employee and the Executive Director, however typically 50% of hours (10 hours) need to be performed in person at Stillwater Public Library. The Foundation will provide a laptop to do work remotely. The person in this position must be able to operate a computer keyboard and other office machinery, such as a copy machine, printer, and telephone. The person in this position frequently communicates with staff and external partners and must be able to exchange accurate information verbally, in writing, and by telephone.
